Home inventory for renters insurance: protect your belongings
By Thibaut Moussa
A home inventory is a documented list of all your belongings with photos, serial numbers, and values. Insurance companies require this documentation to process claims quickly and fairly.

Why renters need a home inventory
Most renters are unprepared
You own a laptop, a TV, furniture, clothing, electronics, and hundreds of other items. Can you list them all from memory? Most people can't. And after a theft, fire, or water damage, you'll have 48-72 hours to file a claim with your insurance company.
Insurance companies don't take your word for it. They want proof — photos, serial numbers, purchase receipts, values. Without documentation, here's what happens:
1. Claim denial
Over 75% of insurance claims are denied or underpaid due to missing documentation. Without an inventory, insurers can't verify what you lost — and they may deny your claim entirely.
2. Underpayment
Even if your claim goes through, insurers will lowball the value of items they can't verify. Without documentation, a $5,000 loss becomes $2,500. A $10,000 loss becomes $6,000.
3. Slow settlement
Claims without documentation take weeks or months. With a home inventory, the same claims get approved in days.
What insurance companies actually require
The documentation standard
Insurance companies have specific requirements for claim documentation. Knowing what to document for insurance claims ahead of time makes the difference between approval and denial. Insurers typically ask for:
- Photos or videos of damaged/lost items
- Brand names and model numbers for electronics and appliances
- Serial numbers (especially for high-value items)
- Purchase dates and prices (receipts are ideal)
- Place of purchase (helps verify authenticity)
- Proof of ownership (warranty cards, product registrations, credit card statements)
What you need to document by category
Electronics: Brand, model, serial number, purchase date, price, receipt.
Example: Sony 55" TV, Model KD-55X80L, SN: 123456, purchased 2022, $800.
Furniture: Description, condition, purchase date, estimated value.
Example: IKEA sectional sofa, good condition, 2020, $1,200.
Clothing: Category count, high-value items separately.
Example: 15 pairs of jeans, 20 shirts, 1 leather jacket ($400).
Jewelry & Valuables: Detailed description, appraisal, photos, serial numbers.
Example: 14K gold wedding ring, appraised $2,500, certificate included.
How HomyScan works
3 steps
Capture
Open the HomyScan app and start taking photos of your items. You can photograph entire rooms or individual valuable items. Our app automatically organizes photos by date and location.
Add Details
For each item, add the details that matter: description, purchase price, date, serial number, warranty info, and location. The form walks you through it — most people are done in under an hour.
Generate Reports
Export a professional PDF report with all your photos, item descriptions, serial numbers, and values. This report is formatted exactly as insurance companies expect it. You can also export to CSV for spreadsheets.
Why HomyScan beats spreadsheets and photo folders
Spreadsheets don't store photos. Photo folders don't store values or serial numbers. HomyScan ties everything together — photos, descriptions, values — organized by room, searchable, and exportable as a PDF your insurer can use directly.
Real claim scenarios: how a home inventory changes everything
Scenario 1: Apartment burglary
Scenario 2: Water damage from burst pipe
What insurers recommend
The National Association of Insurance Commissioners (NAIC) recommends that your home inventory include:
- Photos of every room — Especially closets, drawers, cabinets, and storage areas
- Detailed descriptions — Don't just say "TV." Say "Sony 55-inch 4K TV, Model KD-55X80L"
- Serial numbers — Record these for all electronics and high-value items
- Purchase dates and prices — Helps establish value and authenticity
- Receipts and proof of ownership — Keep originals in a fireproof safe
- Annual updates — Update your inventory yearly or after major purchases
- Offsite backup — Store a copy outside your home (digital or physical)
How to file a renters insurance claim (with your HomyScan inventory)
For a complete guide, see our detailed article on how to file a renters insurance claim.
Report the Loss Immediately
Contact your insurance company as soon as possible. Most policies require claims to be filed within a specific timeframe (typically 30-90 days). The sooner you file, the better.
Contact Your Landlord
Inform your landlord of any damage or theft. They may need to file a separate claim for damage to the building itself. Document any damage with photos.
File a Police Report (If Applicable)
If your loss is due to theft or burglary, file a police report immediately. Get a copy of the report number—your insurance company will need it.
Submit Your HomyScan PDF
Export your HomyScan inventory as a PDF and submit it to your insurance company. Include photos of all lost/damaged items, item descriptions with serial numbers, purchase dates and prices, and any receipts you have.
Respond to Adjuster Requests
Your insurance company may ask for additional documentation. Respond promptly (typically within 14 days). HomyScan makes this easy—you have all your information in one place.
Receive Payment
Once your claim is approved, you'll receive payment via direct deposit (ACH) or check. This typically takes 7-14 days after approval.
